As an Administrative Coordinator in the Gaithersburg office, you’ll be part of a team which focuses on ensuring scientific progress ultimately results in making a positive impact on changing patients’ lives.

Main Duties and Responsibilities

Support senior level individuals within the department and provide broader department support to several key directors or managers. Along with core administrative responsibilities, additional activities may include: facilitating internal and external communications, meetings and events, vendor and contract support and project and office management. This position will be especially important as you will be, in many instances, the initial point-of-contact with many key internal and external stakeholders on behalf of the Hematology Franchise.

Core administrative support (for key managers and team members)

  • Extensive calendar management for key Managers - proactively manages e scheduling conflicts and ensure manager is supported/prepped for meetings (skype links as needed, ensure meeting attendees notified if leader running late, provide pre-reads, if not live for meeting ensures dial in provided etc.)

  • End-to-end global travel arrangements

  • Expense report management

  • Conference registration and management

Facilitating internal and external communications, meetings and events

  • Setting up external meetings with partners, suppliers

  • Setting up meetings and ensuring regular communications with key business stakeholders within AstraZeneca as well as with the field organization where consideration for time zones and travel is important

  • Assisting with managing events such as external speakers or other cross-functional educational or “Town Hall”- type meetings

  • Coordination of candidate interviews, sending calendar invites, securing an interview space/room, preparation of interview binder, greeting candidate and booking candidate’s travel

Vendor and employee / contractor support

  • Learn AstraZeneca systems, processes and tools to support new employee onboarding and Contractor onboarding

  • Managing vendor/supplier contracts per AZ policy and working with key AZ stakeholders

  • Facilitate procurement of 3rd party Tools, technologies, licensing agreements by working with suppliers and AZ internal stakeholders

Office and project management

  • Facilitate team motivation by organizing fun events, happy hours, etc.…

  • Plans, organizes, and schedules own workload through system maintenance so that all activities are completed accurately and on time

  • Undertake of key, one-off type projects to coordinate/manage a discreet process or project

Essential Requirements

  • 3-5 years’ experience working in the above roles with high level professionals and teams in a fast moving environment

  • Associates degree is required, a B.A. or B.S. degree is desirable for this role

  • Ability to keep self and others organized through effective calendar management and clear communication; ability to prioritize own work and make executive decisions regarding time commitments for key Hem Franchise team members

  • Ensure follow through on processes and projects to successful outcome with urgency and attention to detail

  • Operates independently using judgement and discretion; ability to interact effectively and appropriately at all levels of the organization

  • Strong communication skills

  • High level of customer service skills

Desirable Requirements

  • Exposure to regulated industries a plus.

  • Interest or experience in pharmaceuticals, science, technology is a plus
