Job Description

The Administrative Assistant is responsible for providing broad administrative and project support to the Global Technical Operations (GTO) organization. This includes managing the calendars, travel schedules, managing special projects, and organizing leadership forums.

Essential Job Functions

  • Provide comprehensive support to the designated members of the GTO group including but not limited to travel arrangements, expense reporting, correspondence and project and meeting coordination.

  • Manage a complex calendar to schedule meetings, conference calls, videoconferences, interview scheduling and special events; identify calendar conflicts. Find ways to overcome calendar conflicts by collaborating effectively with manager and members of the GTO group.

  • Collaborate with members of the GTO group in effectively shaping his/her meetings and prepare the leader with relevant materials prior to all meetings.

  • Produce accurate, properly formatted documents and reports using Microsoft Office tools/applications under tight time constraints.

  • Handle, multi-location domestic and international travel arrangements, and time/expense reports with accuracy and efficiency, including follow-through to ensure that appropriate and timely actions are taken

  • Effectively coordinate and collaborate with other Administrative Assistants within MedImmune and AstraZeneca on cross-functional and cross-organizational meetings/events/processes, including across multiple international time zones. Work collaboratively and back up other departmental admins as requested.

  • Prepare and edit correspondence and general communications for supervisor review

  • Act as informed deputy in dealing with internal and external "clients" on behalf of supervisor.

Education & Requirements/Qualifications:

Minimum of 3 years of administrative experience supporting multiple clients and executive level staff. H.S. diploma required; college degree or coursework preferred.

  • Intermediate to Advanced proficiency in Microsoft Office Suite, Visio, SABA Cloud and SharePoint.

  • Strong coordination skills.

  • Prior experience interacting with executive level staff required.

  • Strong written and verbal communication skills

  • Ability to interact professionally and confidently with executives and employees at all levels.

  • Able to prioritize time sensitive assignments.

  • Skilled at meeting logistics including negotiating logistics as needed. Will interact with external clients more frequently

  • Good interpersonal skills. Ability to influence peers and minimize gridlocks

  • Able to handle last minute changes with composure and confidence.

  • Flexible/resourceful to adapt to ever changing needs and deadlines.
